Introduction
To insert a signature in Apple Pages, add a signature image to the document, resize it without distortion, and position it over the signature line. For a personal Markup signature, export the Pages file as a PDF and sign that copy in Preview. When another person must sign and the completed document needs an audit record, export the PDF and route it through Nota Sign.
Those three routes create different results. A pasted image changes what the page looks like. Markup lets the person at the Mac annotate the exported PDF. A routed electronic signature connects the final document with recipients, required fields, signing actions, completion status, and a retained record. Choose What the Signature Must Accomplish
Start with one question: is the signature only a visual element, a mark you are personally adding now, or an action another recipient must complete?
Use the image route when appearance is the entire task. Use Markup when you control the Mac and need to place your own signature on the exported PDF. Use the routed route when the document has a recipient, a required action, a deadline, or a later reviewer who needs to understand how signing occurred.
This decision tree prevents a common mistake: treating every visible signature as equivalent. The same handwritten mark can be present in all three files, while the supporting record is different in each route.
How to Place a Signature Image in Pages
Apple Pages treats a saved signature as an image. A transparent PNG gives the cleanest result because the page remains visible around the handwriting. A JPEG also works, though a white rectangle often remains around the signature.
Prepare the signature file
Create a clear image with dark ink on a plain background. Crop tightly around the handwriting so the inserted object has little empty space. Store the original in a location with restricted access; a reusable signature image is sensitive personal material, not ordinary clip art.
If the file has an unwanted solid background, Pages includes a Remove Background control in the Image section of the Format sidebar. Remove only the surrounding color and inspect the letter strokes at high zoom before proceeding. Thin loops and initials lose detail first when background removal is too aggressive.
Insert the image
Open the Pages document and place the insertion point near the signature line. Then use either of these routes:
- Drag the image from Finder directly onto the page.
- Choose the media insertion control, select Photos or Videos, and select the signature image from the photo library.

Resize without distortion
Select the image and drag a corner handle. A corner preserves the handwriting's proportions; a side handle stretches it. Keep the signature close to the size of a normal handwritten signature. An oversized mark looks like a decorative graphic and often shifts surrounding text.
After sizing, inspect the image at 100% zoom. Look for pixelation, clipped strokes, a visible background box, or a signature line showing through the handwriting in an awkward place.
Anchor it to the intended location
In a word-processing document, decide whether the image should move with the nearby text or stay fixed on the page. A signature in a letter usually belongs with the closing text, while a signature placed on a fixed form often needs a stable page position.
Finish all text edits before the last placement check. Added paragraphs, changed margins, and font substitutions shift a floating object even when the signature looked correct earlier. Review every page, then save the Pages source file and export a final PDF.
How to Add a Markup Signature After Export
Markup works on the exported PDF rather than on the editable Pages source. This route suits a person who is sitting at the Mac and wants to add their own signature to a finished copy.
First, open the Pages document and choose File > Export To > PDF. Apple explains that exporting creates a copy in the selected format and leaves the original unchanged in its guide to exporting a Pages document as PDF. Save the PDF with a version-specific name such as Vendor-Approval-Final.pdf.
Then complete these steps in Preview:
- Open the exported PDF in Preview.
- Show the Markup controls and select Sign.
- Choose a saved signature or create one with the trackpad, built-in camera, or a nearby iPhone or iPad.
- Select the signature, drag it to the signature line, and resize it with the handles.
- Save the signed PDF as a separate completed copy.

Keep the Pages source unchanged after you sign the PDF. Editing Pages and exporting again creates a new PDF version without the prior annotation. If content changes, produce a newly named final PDF, review it, and sign that exact version again.
Avoid Reusing a Static Signature File as Proof
A pasted signature image does not by itself verify who placed it, whether the named person intended to sign this document, which document version they reviewed, or when the action occurred. It also does not create an audit record. The image proves only that the pixels are present in the file.
That boundary matters for purchase approvals, employment documents, customer agreements, policy acknowledgements, and any record that another person must rely on. The receiving party, governing rules, and document type determine what evidence is required. A visual image is not a substitute for that determination, and this guide does not provide legal advice.
Use four questions before reusing a saved signature file:
- Who is placing the image, and are they authorized to use it?
- Does the recipient need proof of intent or only a visually complete copy?
- Is the exact document version fixed before the signature action?
- What record must the team retain after completion?
